The Volunteer & Operations Coordinator at Hope Blooms is responsible for supporting all aspects of the volunteer program, operations and donation processes. This role will support the lead volunteer coordinator with recruiting, training and supporting volunteers. Additionally, the Volunteer & Operations Coordinator will coordinate donation logistics, assist with administrative duties and foster a positive image of Hope Blooms in the community. This position plays a vital role in achieving the organization’s goals, supporting its mission and maintaining a welcoming environment for volunteers, donors and community members.

Reports to: Hope Blooms Executive Director

Location: Fargo, ND, and Moorhead, MN, metro area

Commitment: 40 hours per week. Some evening and weekend commitments will be required.

Classification: Full-time/exempt position

Compensation: $39,520 annually, 7 PTO days and 7 paid holidays, $25 monthly cell phone stipend. No other benefits are currently offered.

Duties & Responsibilities:

Volunteer Coordination

  • Support all volunteer program activities.
  • Facilitate volunteer activities for both onsite and offsite events, including team building and group activities.
  • Recruit, screen, train and supervise new volunteers, ensuring they understand their roles and receive appropriate training.
  • Match volunteers to opportunities that align with their skills and interests.
  • Collect volunteer information and manage timely and accurate entry of volunteer records into the database.
  • Assist with development and implementation of ongoing training for volunteers.
  • Assist in coordination of the monthly volunteer calendar, ensuring all openings are filled.
  • Oversee regular volunteers performing weekly tasks at the Hope Blooms shop.
  • Help develop volunteer recognition and gratitude initiatives to ensure volunteers feel valued.
  • Keep new and existing volunteers informed about the organization and volunteer opportunities.
  • Ensure timely and professional communication with volunteers.

Operations & Administration

  • Organize and process incoming donations, including flowers, supplies and other contributions.
  • Ensure timely processing of donation receipts and acknowledgment thank you cards to donors.
  • Perform timely data entry and updates in donor database system and mission-related reports.
  • Answer incoming inquiries through the organization’s general email inbox and phone calls.
  • Work closely with the executive director and the team to provide updates on volunteer, donation and administrative activities.
  • Assist with preparing reports, including board and grant reports.
  • Assist executive director and the team with special projects.
  • Support floral donation pick-ups and bouquet deliveries, fostering positive relationships with partner facilities.
  • Assist with maintaining the Hope Blooms shop to ensure a welcoming and functional environment.
  • Assist with upkeep of the delivery van.
  • Assist in the implementation of services and programs for Hope Blooms.
  • Ensure that all functions are carried out according to established procedures and guidelines and are approved by the organization.
  • Submit all statements and invoices for payment to the executive director on a timely basis in accordance with the organization’s policy.

Fundraising, Public Relations & Other Development Activities

  • Contribute to the success of Hope Blooms’ fundraising initiatives by supporting event planning, execution and attending as a representative of the organization.
  • Maintain a positive community profile and promote public awareness of Hope Blooms’ mission and serve as a spokesperson, when necessary.

Other Responsibilities

  • Perform other duties as required to support the organization’s mission and goals.

Ideal Attributes

  • Mission-driven
  • Experience in Microsoft Suite + Google Suite
  • Possesses a driver’s license + vehicle
  • Experience working in CRM software
  • Excellent communication and customer service skills
  • Ability to use good judgment and problem-solving skills
  • Excellent organization and attention to detail as well as time management skills
  • Willingness to travel around the Fargo-Moorhead-West Fargo communities and beyond for deliveries and pick ups
  • Ability to lift 50 pounds
  • Hope Blooms requires each employee pass a background check.

All with one message: you matter. We are dedicated to nurturing the social and emotional well-being individuals who are experiencing isolation, loneliness and hardship. Hope Blooms serve seniors in hospice care, nursing homes, long-term care facilities and assisted living and memory care centers. We also partner with many area nonprofits to serve the community shelters, food pantries, supportive housing, women’s facilities, recovery centers, cancer centers and mental health facilities. Since its founding in 2016, Hope Blooms has delivered more than 94,000 bouquets to community members in need.
